Administration Assistant
We are accepting applications for an Administration Assistant.
The applicant must be dependable, very punctual and be able to work Monday through Friday. We are looking for a person that is a self-starter, very organized, and detail oriented. The right person must be computer literate, be able to work with minimal supervision, able to handle multiple tasks and do them in a timely and orderly fashion. We need a friendly person with excellent customer service skills to greet our customers and visitors. Training will be provided, but must have administrative skills.
Bi lingual in Spanish and English a plus, but not required.
Some of the job duties are listed below:
- Answer phones
- File all office material correctly
- Research customer accounts for invoices paid, shorted, skipped, etc.
- Match checks, (a/p), to invoices, file and research as needed
- Office receiving, to include mail, supplies, UPS, FedEx, etc.
- Notify correct department when shipments are delivered
- Mail distribution to all employees
- Research all customer/vendor statements
- Make copies for all departments as needed
- Typing for all departments as needed
- Dispatch for Receiving, Transportation, and all other departments as needed
- Maintain monthly and yearly calendars on employees
- Call for pickups, (UPS, FedEx, etc.)
- Stuff envelopes and use postage machine
- Create Excel graphs as needed
