POSITION: Administrative Assistant for Agency Advancement
St. Catherine's Center for Children is a leading human services provider in the Capital Region. We offer a wide array of services designed to meet the needs of struggling children, families and adults.
Job Summary:
The Administrative Assistant for Agency Advancement is a part-time position (20 hours per week) reporting to the Director of Agency Advancement. The Administrative Assistant will support the Agency Advancement Team in an office dedicated to cultivating relationships necessary to promote St. Catherine's among donors, volunteers, and friends in the community.
Responsibilities:
- Answer and direct phone calls and welcome and provide support to office visitors.
- Organize and schedule meetings, reserve meeting rooms and record minutes of meetings.
- Assist in the planning and coordination of fundraising and community events. Post event announcements on community calendars, maintain event guest lists, create guest name tags and attend events as needed.
- Coordinate the receipt of in-kind gifts. Take phone calls, schedule deliveries, meet and thank donors, and ensure receipt of gifts are recorded in the donor database system. Draft acknowledgement letters for in-kind gifts.
- Check incoming mail and assist in the preparation of outgoing mail, including drafting of routine correspondence and preparation of bulk mailings.
- Assist with donor database entries as needed, including gift entries and database maintenance.
- Scan documents and upload to donor database.
- Track postage accounts and ensure adequate postage is deposited to meet bulk mail needs.
- Assist in the tracking of disbursements, processing of paperwork, and maintaining a restricted-funds account spreadsheet.
- Maintain an office supply inventory by keeping an up-to-date supply list and monitoring existing supplies.
- Maintain and display an up-to-date inventory of agency marketing materials.
- Assist with year-end transition filing, including archiving old files and setting up new files.
- Provide general administrative support to members of the Agency Advancement Team as needed.
POSITION REQUIREMENTS:
- High School degree or equivalent
- Experience in an office environment.
- Strong communication skills (written and verbal).
- The ability to work with a wide array of people in various settings.
- Willingness to attend special events during off hours.
- Experience with Microsoft Office Suite of products, and the ability to learn new software programs as needed.
